    Billable hours calculator

Free billable hours calculator: find your utilization rate and revenue, or the hourly rate you need to hit an annual income goal.

    Utilization

    62.5%

    What this calculator tells you

Utilization is the share of working hours that are truly billable. Planning from utilization keeps your goals realistic: if you need 20 client hours a week and your utilization is 60%, you must be available ~33 hours to hit that target. The goal‑based mode in this tool flips the math to show the hourly rate required for a given annual income once you account for weeks off and non‑billable time.

    A worked example

Suppose you plan to work 48 weeks × 40 hours = 1,920 hours a year. At 60% utilization, that is 1,152 billable hours. To earn $120,000 from billable time alone, you would need roughly $104/hour. If you also sell fixed‑fee packages, treat them as an effective hourly rate over the effort it actually takes.

    Assumptions and caveats

This is a planning tool. It ignores collections risk, scope changes, and lead variability. It also treats each hour as equal, which may not hold if your mix includes long on‑site days and quick virtual sessions. Adjust weeks, hours, and utilization to mirror your reality.

What to do with the result

Use utilization to set capacity limits in your booking workflow and to decide when to raise prices or narrow scope. In GoWithAgentic, pair this with follow‑up and review agents so admin time stays low and utilization stays honest.

    FAQ

    How is utilization calculated?

Billable hours ÷ available hours × 100. Billable hours cannot exceed available hours.

How do I find the hourly rate I need?

Divide your annual income goal by billable hours per year: weeks per year × hours per week × utilization %.

What is a realistic utilization rate?

Many service professionals bill 50–70% of working hours; the rest goes to admin, sales, and follow-up. The default here is 60%.

    Why default to 48 weeks?

It leaves about four weeks for holidays, vacation, and sick time. Change it to match your year.
