    No-show risk calculator

Hours until the booking, reminder count, and whether they confirmed. Heuristic, not a model.

Spot bookings likely to no-show before the slot is lost

A missed appointment costs the slot and the staff time around it. Most of the risk shows up in a few signals: how soon the appointment is, how many reminders went out, and whether the customer confirmed. This no-show risk calculator turns those signals into a Low, Medium, or High band and a next step.

How to use the no-show risk calculator

Enter the hours until the appointment and the number of reminders already sent, then tick the box if the customer accepted the invite or replied yes. The band updates as you type.

    Your no-show risk band

    Medium

    What your band means

Low: the booking is confirmed with at least two reminders sent — no action needed. Medium: keep the reminder schedule going, and add a second reminder if the appointment is still more than two days out. High: the appointment is close with no reminder sent — ask for a confirmation now.

    FAQ

How does the no-show risk calculator work?

It uses three inputs — hours until the appointment, how many reminders have been sent, and whether the customer has confirmed — and applies a few simple rules to return a Low, Medium, or High risk band with a suggested next step.

What do the Low, Medium, and High bands mean?

Low means the customer has confirmed and at least two reminders have gone out. High — send a confirm now — means the appointment is less than 12 hours away and no reminder has been sent. Medium — schedule a second reminder — means it is more than 48 hours away with fewer than two reminders. Everything else is Medium.

Is this a predictive no-show model?

No. It is a rule-based heuristic, not a model trained on your bookings, and the band is not a probability. Use it to decide the next reminder or confirmation step, and rely on your own attendance history for anything more precise.

How many appointment reminders should I send?

The calculator only treats a booking as Low risk once it is confirmed and two reminders have gone out. The right number for your business depends on how far ahead people book and how they prefer to be contacted. Keep each reminder short and include an easy way to confirm or reschedule.

How can an AI agent help reduce no-shows?

An agentic workflow can send reminders on schedule, ask the customer to confirm, offer a reschedule option when they can’t make it, and flag unconfirmed bookings to your team before the slot is lost — so staff only step in for the bookings that need a person.
